The Heart of Healing Counselling Services (“we,” “us,” “our”) is committed to protecting your privacy. - Booking information: when you book an appointment through our online booking system (Jane App), you provide information needed to schedule and manage your care.

- Clinical information: if you become a client, we collect personal health information necessary to provide you with safe, effective psychotherapy services.
How We Use Your Information
We use your information to respond to your inquiries, schedule and provide counselling services, communicate with you about your care, meet our legal and professional obligations, and improve our website and services. We do not sell or rent your personal information to anyone.
Confidentiality of Clinical Information
Everything you share in therapy is confidential and protected under PHIPA and the standards of our regulatory college. There are limited circumstances where we are legally required to disclose information without your consent, including: risk of serious harm to yourself or others, suspected abuse or neglect of a child, abuse by a regulated health professional, or where records are ordered by a court. We will discuss these limits with you at the start of therapy.
Online Booking (Jane App)
We use Jane App, a Canadian practice management platform, for appointment booking and clinical records. Information you enter when booking is stored securely by Jane App and is subject to their privacy practices in addition to ours. You can review Jane’s privacy policy at janeapp.com.
Cookies, Analytics, and Advertising
Our website uses cookies and similar technologies. We use Google Analytics to understand how visitors use our site, and Google Ads conversion tracking to measure whether our advertising is effective (for example, recording that a contact form was submitted). These tools collect information such as pages visited and general location; they do not collect the contents of your messages or any clinical information. You can disable cookies in your browser settings, use Google’s Analytics opt-out browser add-on, or adjust your ad personalization settings with Google.
How We Protect Your Information
We take reasonable administrative, technical, and physical safeguards to protect your information, including secure, encrypted platforms for clinical records and booking. Please note that email is not a fully secure medium, so we recommend not sharing sensitive health details by email.
Retention
Clinical records are retained in accordance with the requirements of our regulatory college and applicable law. Website inquiry information is kept only as long as needed to respond to and follow up on your inquiry.
Your Rights
You may request access to the personal information we hold about you, request corrections, or withdraw consent to non-essential uses of your information. To do so, contact us using the details below. If you have concerns about how your information has been handled, you may also contact the Information and Privacy Commissioner of Ontario (ipc.on.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
